How do I make hotel reservations?

There are two ways you can book your hotel:

Do I have to be registered for the 2013 NSC Congress & Expo before I make a hotel reservation?

No, however once Congress registration opens in Tuesday, April 16, you will be prompted to book a hotel room immediately after registering to attend Congress online. 

For best availability and the lowest rates, book your hotel rooms before June 28, 2013. A credit card will be required to hold + guarantee the reservation. Approx. 30 days prior to Congress, the hotel may charge the 1st night deposit plus tax.



How far in advance do I need to make a hotel reservation?

Housing is now open!

To take advantage of EARLY rates and best availability, we recommend that hotel reservations are made before June 28, 2013. We will continue to take hotel reservations up to Congress based on availability.

A credit card will be required to hold and guarantee the reservation. Approximately 30 days prior to start of event, the hotel, not onPeak, will charge your credit card a deposit equal to one night's room charge plus tax.

NOTE: Government rated rooms are limited. We suggest you book very early to secure.



Can I make a reservation for a group of people?

Yes, the housing site allows you to book up to 20 rooms at one time based on availability. A credit card will be required to hold the reservations. You must supply all the names for your group by July 12, 2013 or the rooms will be cancelled. Should you require more than 20 rooms, please contact onPeak by email.



Is there a deposit required when I make a hotel reservation?

A credit card will be required to hold + guarantee your reservation.

Approximately 30 days prior to start of event, the HOTEL, NOT ONPEAK will charge your credit card a deposit equal to one night's room charge plus tax. Please refer to your confirmation to review your individual hotel’s policy.

However, onPeak does not charge credit cards. The official NSC hotels are responsible for charging credit cards which typically takes place approximately 30 days prior to Congress when they receive a rooming list. Please refer to your written confirmation to review your individual hotel’s policy.

Credit card information MUST be provided to guarantee reservation until check arrives. All checks must be received no later than August 9, 2013.The check should be the amount of one night’s room rate plus current room tax of 16.5%. Checks must be drawn in U.S. funds from a U.S. bank.



What should I do if I need to change a hotel reservation?

Your emailed confirmation provides you with several methods to request a change on your reservation.

What is the hotel cancellation/refund policy?

Reservations must be cancelled seventy-two (72) hours prior to arrival to avoid loss of deposit in the form of one (1) night's room plus tax. Please refer to your confirmation for full policy details, which may vary per hotel.

Hotel cancellations should be made through onPeak until September 13, 2013. After this date, your cancellation should be made directly with the hotel.



What credit cards are accepted by the official hotels of the 2013 NSC Congress & Expo?

Most of the official 2013 NSC Congress & Expo hotels accept the following credit cards: American Express, Diners Club, Discover, MasterCard, and Visa.

In order for your credit card to be a valid method of payment, the month and year of the expiration date must be after October 2013.



Will credit card information be protected when booking a hotel reservation on your website?

We encrypt all of our sites using SSL secured websites. This includes both the block management site as well as the individual reservation site.



Will I receive acknowledgement when I make a hotel reservation?

Yes, an email confirmation will be sent from onPeak within 24 hours.



Can I use a company credit card to pay for a hotel room?

Yes, however, most hotels have very specific requirements regarding the use of a credit card number that is not issued in your name. All hotels will require the following:

  1. The completion of a credit card authorization form that you will need to request directly from the hotel where you have reserved your room.
  2. The individuals authorized to use this credit card will need to complete the form and fax it back to the hotel along with a copy of the front and back of the credit card.
  3. In most cases, the hotel will also require a copy of the credit card signer's driver's license.

If you know in advance that you will be using your company's credit card, please request a credit card authorization form from the hotel as soon as you have received your confirmation from onPeak.



Do the hotel room rates include tax?

No, the hotel room tax in Chicago is currently 16.5%.



Do you have a third party policy for securing hotel rooms?

The hotel rooms being provided as part of the 2013 NSC Congress & Expo official hotel block have been contracted by the National Safety Council and the official housing provider onPeak. The 2013 NSC Congress & Expo official hotel block is available and offered to registered 2013 NSC Congress & Expo attendees and exhibitors only, and only such registered parties are authorized and permitted to reserve hotel rooms in this block.

Hotel reservations booked in the 2013 NSC Congress & Expo official hotel block are subject to approval by The National Safety Council. Unauthorized use of the room block may result in the hotel reservations being canceled.

Unauthorized use includes, without limitation, the resale of rooms by third parties, travel agencies, event organizers, or tour groups without the express written consent of The National Safety Council. Neither the National Safety Council nor onPeak bears the responsibility for any costs, damages, or other liability incurred by any party due to cancellation of rooms in violation of these terms of use.



Is shuttle service offered from the hotels to McCormick Place?

Shuttle service between NSC contracted hotels and McCormick Place West will operate Monday, September 30 through Wednesday, October 2 in connection with event times. The Service will only be available to those who booked their hotel room(s) thru onPeak, NSC’s official housing provider. A shuttle voucher will be distributed (details to follow).
